ACCM Student Privacy, Media and Participation Consent

  1. Purpose

Ambassador College of Christian Ministry (ACCM) collects and uses personal information to support student enrolment, course delivery, pastoral care, administration, and ministry training activities. This notice explains how your information may be collected, used, stored, and shared when you study with ACCM. It also explains your rights in relation to that information.

  1. Personal Information We Collect

ACCM may collect personal information reasonably necessary for the administration and delivery of its courses and related ministry activities. This may include:

  • your name and contact details
  • enrolment information
  • course participation records
  • course completion records
  • communications you send to ACCM
  • feedback, comments, or testimonials you choose to provide.
  1. How ACCM Uses Personal Information

ACCM may use your personal information for purposes connected with your study and participation in ACCM activities, including:

  • processing enrolment and managing student records
  • delivering courses and learning activities
  • communicating with you about your course or ACCM matters
  • providing pastoral support and ministry oversight
  • improving courses and training processes
  • maintaining internal administrative and reporting requirements.
  1. Disclosure of Student Information

ACCM may share limited student information with relevant ministry leaders for pastoral oversight, support, and ministry leadership purposes. This may include confirmation of:

  • your enrolment in an ACCM course; and
  • your course completion status.

This information may be shared, where relevant, with:

  • Course Coordinators
  • Superintendents
  • Regional Directors.

ACCM will not share:

  • individual grades
  • assessment results
  • teacher comments
  • assessment feedback.
  1. Overseas Disclosure

Because ACCM serves students and ministry leaders in multiple countries, your personal information may be disclosed to ministry leaders or authorised personnel located outside Australia where this is reasonably necessary for course administration, pastoral care, oversight, or ministry coordination.

By enrolling in an ACCM course, you acknowledge that your personal information may be transferred to, stored in, or accessed from countries outside Australia, and that privacy protections in those countries may differ from those in Australia.

  1. Student Feedback, Testimonials and Course Improvement

ACCM may use student feedback, comments, and testimonials for purposes such as:

  • course review and improvement
  • internal reporting
  • ministry communications
  • promotional materials, including newsletters, websites, and similar ACCM communications.

Where reasonably practicable, students may request that feedback or testimonials be used anonymously.

  1. Data Security and Retention

ACCM takes reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure. Access to student information is limited to authorised staff and relevant ministry leaders where required for legitimate educational, administrative, or pastoral purposes. This reflects and strengthens the security approach already stated in your draft.

ACCM retains personal information only for as long as reasonably necessary to fulfil educational, administrative, ministry, legal, or compliance purposes.

  1. Access, Correction and Privacy Concerns

You may request access to personal information ACCM holds about you, or request correction of information that is inaccurate, incomplete, or out of date.

By enrolling in an ACCM course, you acknowledge that you have read and understood this Student Privacy Collection Notice and Consent, and you consent to ACCM collecting, using, storing, and disclosing your personal information as described above. 

 

 

Media, Recording and Participation Consent

1. Purpose

As part of course delivery, ACCM may use online platforms, recorded sessions, and other learning activities that involve student participation. This consent explains how ACCM may record and use student images, voice, written contributions, and related participation in ACCM courses. Your draft specifically contemplated Zoom sessions, video, audio and chat participation, as well as uses for current cohorts, future cohorts, training, and promotion. 

2. Recording of Classes and Activities

Students acknowledge that ACCM may record classes, Zoom sessions, or other online and educational activities connected with ACCM course delivery.

These recordings may include:

  • video images, including your face if your camera is on
  • audio, including your spoken contributions
  • written comments, including chat participation or similar online interaction. 

3. How Recordings and Media May Be Used

ACCM may use recordings, screenshots, images, and student contributions for the following purposes:

Educational and Training Use

  • sharing with the current course cohort
  • sharing with future cohorts for learning purposes
  • training and development of ACCM courses
  • internal staff or ministry training related to course delivery. 

Communication and Promotion

  • newsletters
  • websites
  • social media
  • promotional publications
  • ministry communications related to ACCM or Grace Communion International ministry activities.

4. Respectful and Appropriate Use

ACCM will take reasonable care to use recordings, images, and student contributions respectfully and appropriately, and in a manner consistent with Christian ministry values. Your draft expressly included respectful use, avoidance of sensitive or inappropriate content, and alignment with Christian ministry values.

5. Participation Choices

Students who prefer not to appear in recordings may, where practical:

  • turn off their camera
  • limit or avoid verbal participation
  • refrain from contributing to chat or written discussion if they prefer not to be identifiable
  • contact ACCM to request exclusion from specific uses, where reasonably possible.

Where possible, ACCM will seek to accommodate such requests. Choosing not to appear in recordings will not of itself affect a student’s standing in the course, although some participation requirements may still need to be met for educational purposes.

6. Consent

By participating in ACCM course activities, you acknowledge that you have read and understood this Media, Recording and Participation Consent, and you consent to ACCM recording and using your participation as described above.
